HBB Committee Minutes 2024-11-28HB Branch Committee Meeting Minutes 28 November 24 Present: Robin Bacchus, Robyn Hewetson, Angela Hair, Mike Caris, John Jackson Opening with Michael verse General Bumblebee nest behind Centre - Kevin Tinker will remove it. Florian Roger’s family is visiting 14-18 December from France. Joce Freeman will prepare a notice for the newsletter. Charities - we are registered under the Charities Act not under the Incorporated Societies Act - Angela to resend 5 November notes. Webinar is in Feb 2025 in Wellington and Angela has confirmed attending this with Michelle Vette. Newsletter - email type is too small - Robin uploads a jpg. and that works fine - pdf have to copy the content and transfer over Taikura Fete - four of us at the Fete - Amaali gave us a nice spot with a gazebo using small tables and we sold books and clothes and other small items. - we attended all day - sold $120 of goods, made $180, $40 (check if Diana paid school) -Te Whiti Seeds held an art exhibition in the Centre on the same day and sold art work to support Youth Ambassadors to Finland. -Next year have a handout with Membership and information about the Library Info. Attending the event allowed the Centre to have greater visibility. Festival for Christmas Festival Saturday 21 December - 4:30am Jen Speedy offered to do a 4.30am BD 501 stirring to reach out to younger people - 4.30pm to 6pm - dancing with Helen Stonehouse - 6:00pm - food to share - 7.30pm – Talk on Archi by Sue Simpson/Joce Freeman Note - different people may come to the BD stirring and the dancing. John to create a flyer for distribution in Newsletter and by email. Financial Report Treasurer reports that this financial year [from 1 April]: We sent out letters to members requesting contributions in middle of April 2024 and 2, 4 and 6 months later. 85 out 111 members have pledged or contributed. 68 people have made a single annual contribution; 26 people have contributed more than the requested $90 – total $3,251 45 people have contributed the requested $90 – total $4,050 14 people have contributed less than the requested $90 – total $783 That leaves 26 members who have not responded in any way to the 4 letters sent to them. 3 people have responded by withdrawing their membership of the HB Branch. We haven’t approached any Friends who receive our weekly Newsletter to ask for a contribution. John Jackson commented that there used to be an email to ask what you are going to contribute this year? Tied to tax refund. Painting the Main Room There are 1 tub and 4 tins of paint 1 is decking paint, others are for internal paint maintenance. It was decided to build shelves in the broom cupboard to store these. The Insulation installer didn’t complete the job and Robyn is to approach AAA to ask them to replace missing panel. They should have taken the rubbish away as part of the job as well. Security Robyn raised her concern about the security of the Centre. Koha box could be locked into the library every night when Angela is working (Monday to Friday). This will be then be secure over the weekend. Notice near front door asking last to leave to turn off lights and ensure door is pulled securely (Angela) Dummy camera on the door - jCar - dummy security camera Heat Pump Needs to be cleaned regularly so it doesn’t fail in the winter. Smoke Free Policy - We adopted the Smoke Free Policy as attached We need to buy a Smoke Free/ Vape/Alcohol Free sign or create one needs to be laminated and displayed by each door.
